Our User Guidelines and Policy for URFMS

To ensure a fair, safe, and efficient working environment for all laboratory users, please strictly adhere to the following guidelines when making reservations and using LS laboratory equipment via the URFMS system.

1. Mandatory Advance Booking & Priority

  • All equipment MUST be reserved in advance through the URFMS booking system. Users must have a valid booking before using any equipment. Ad-hoc or walk-in usage is strictly prohibited.
  • First priority for all equipment is reserved for teaching purposes. The Department reserves the right to terminate or reschedule any bookings to accommodate teaching schedules and academic progress.

2. Laboratory Access & Security

  • Borrowing, lending, or using another person’s Staff or Student ID card to access the laboratory is strictly prohibited. Unauthorized access compromises laboratory security and severely undermines the integrity of our safety protocols.

3. Equipment Usage & Reporting

  • Users must immediately report any malfunctioning, damaged, or unavailable equipment to the equipment's Person-in-Charge (PIC).
  • Do not attempt to use alternate equipment without a prior booking and explicit authorization from the PIC.

4. Disciplinary Actions & Penalties

  • Users will receive formal written warnings for misconduct, misuse of equipment, or walk-in usage.
  • Any severe offenses or repeated violations will result in strict disciplinary measures. This includes the suspension of the user's URFMS online booking account and/or the revocation of access to LS laboratories and equipment.

The Department reviews this policy and the booking structure on a regular basis. We appreciate your cooperation in maintaining a safe and efficient laboratory environment.
